Manage Mailbox Owners (formerly delegates)

Managing Owners

Mailbox owners can access the mailboxes associated email and calendars in Outlook. When using the Outlook desktop application the mailbox is automatically added to the view. When accessing Outlook via a browser the mailbox can be added manually to the list or accessed directly (as if the mailbox had been logged into) by using the ‘Open another mailbox’ feature.

To add a new mailbox owner login to AIMS (https://aims.umsystem.edu). Click the blue “Manage Sponsored Accounts” button in the “Sponsored Account Management” box. If you do not see the option click “Self Service” in the blue bar to switch to the self service page. From the list of sponsored accounts find the mailbox you wish to manage and click the “Edit” link in its row. This opens a dialog where owners can be added and removed.

Adding Owners

  • Navigate to https://aims.umsystem.edu
  • Click the blue “Manage Sponsored Accounts” button
  • Find the mailbox in the list of sponsored accounts
  • Click the “Edit” link for the mailbox
  • Click the blue “Add New Mailbox Owner” button toward the bottom of the popup dialog
  • Search for an owner to add by user name, first name and last name, as desired
  • Click the “Select” link for the desired mailbox owner
  • Click the “Close” link in the bottom right corner of the dialog when done

There is a delay from when a new owner is added to when they will have access to the mailbox. Please allow an hour for the change to take effect.

Deleting Owners

To delete a mailbox owner find their row in the list of mailbox owners at the bottom of the dialog and click the ‘Delete’ link.

  • Navigate to https://aims.umsystem.edu
  • Click the blue “Manage Sponsored Accounts” button
  • Find the mailbox in the list of sponsored accounts
  • Click the “Edit” link for the mailbox
  • Identify the mailbox owner to remove in the list toward the bottom of the popup dialog
  • Click the blue “Delete” link for that owner
  • Click the blue “OK” button in the confirmation dialog if it is the owner to remove
  • Click the “Close” link in the bottom right corner of the dialog when done
