The University regularly reviews accounts for expiration or deletion. When an account owner no longer meets the account eligibility requirements, account access to resources will be terminated. For more information on account eligibility please see the Email Management Policy and Electronic Mail Use and Management Procedures .
Account extensions are managed via AIMS with help available from the help menu.
Note: Access to TouchNet and myHR is interrupted whenever an account is locked but that access is not contingent on having a mailbox. When a mailbox is removed the process involves locking the account but it is unlocked following that removal.
Students
Former students are no longer eligible for a University account 12 months after the end of their last enrollment. Accounts of students who are no longer eligible will undergo maintenance and lose access to Office 365, email and other electronic resources. Once these accounts are deleted they cannot be restored. It is important to backup or move information to a non-University resource such as your home computer or personal email account. Students may request a one-time extension for their account not to exceed one year. Notification of eligibility for this extension is automatic and it is applied for following instructions received at that time.

There is only one extension available to former students and it cannot exceed one year. Once that extension has been used no further extensions are available.
Employees
Employee account eligibility is reviewed daily and when no longer found to be eligible the employee and department are notified via email and the account locked. Once the account is locked the employee will no longer have access to University resources or email. Mailboxes and other content are deleted three weeks after the account is locked. Once a mailbox is deleted it cannot be restored.
Account eligibility for employees are are former students is based on their employment status, not their former student status.

It is important that, whenever possible, employees and supervisors transfer any needed content to the department before the employee’s last day of work. Once deleted, mailboxes cannot be restored. Data stored on the local computer, in Google, the account’s S: drive, or other locations should be expected to become inaccessible. It is much easier, quicker, and more complete for an employee to transfer data while they still have an account than to use data recovery procedures afterwards to retrieve what is still recoverable.
Resource and Service Accounts
Resource and service accounts have an expiration date for when they will be removed. The account sponsor is notified via email before the expiration occurs and can extend the account as needed using the instructions provided in that notification. If the expiration is not extended the account will be locked and removed when it is reached.
If an account is restricted to logging in to certain systems there is a limit of 64 systems that the account be configured to login to.
